I. Administrative data protection policy

1. What personal data we collect

Administrative data
When you register for a course at our home page we make a record of your name, contact details and courses you have previously attended. The homepage is managed by employees and people who work voluntarily for the organisation.

We also save information about payment transactions, which we are obliged to do, as part of our accountancy.

2. How we may use your personal data and on what lawful basis

Reasons for collecting the data mentioned above:

  • To handle our administration
  • To know what discounts you are entitled to
  • To contact you with information about our activities
  • To contact you with information about courses for which you have signed up

What is our legal basis to save personal data?

We always apply the applicable laws regarding processing of personal data.

  • The lawful basis for handling your personal information is your consent. Obtaining your consent is typically carried out in connection with registering for a course.
  • You have the right to withdraw your consent for the processing at any time. In that case, please contact us (see point 9). A withdrawal does not affect the legality of the processing before the consent was revoked. Your consent is valid for 7 years.
  • In some cases, the law obliges us to process your information. An example of such a law is the Bookkeeping Act.

3. With whom we may share your personal data.

  • We may share your personal data with a third party, such as authorities, if the law requires us to do so.
  • We may share your personal data with PerfectSelf AB who arrange our courses in Tuina, Weituo Jin and EasyCare.

4. How we protect your personal data

The information is shared with those who work with a course. After the course it is transferred to a central register. Thereafter, those who work only with single courses no longer have access to the information. The register is kept safe and only people who are assigned to work with it have access.

5. Your rights regarding data protection

You may at any time withdraw your consent for the processing. A revocation does not affect the legality of the processing before the consent was revoked.

You have the right to contact us if you want information about what data we have on you, to request correction, to request that we restrict the processing, to make objections or to request deletion of your information. In that case, please contact us (see point 8).

6. Cookies

We collect, process and analyse data about the usage of our website. Traffic data is information linked to the visitors on our website.

The information is not used to identify single visitors. Cookies are being used for logging in to the site.

You can specify in your browser settings if you want to allow or disallow cookies. If you choose not to allow cookies you can still use our web pages and some of our services, but the use of certain functions and parts of our website and services may be severely limited.

7.How long do we keep your personal data?

We save personal information for as long as it is needed to achieve the purpose for which we collected it and processed it, or for the time required by law. Examples of how long we save your information:

  • Information for administration (name, contact information and information about what courses you have joined): is saved for 7 years from the latest renewal of the consent, so that we can give you discounts.
  • Information that the Bookkeeping Act requires us to store: 7 years plus the end of the current accounting year.

If you have complaints about our processing of your personal data, you also have the right to file a complaint to the Data Protection Authority.

II. Data Protection Policy for Course Reports

During our courses, for example during the feedback session at the end of a course, you can choose to share your experience about practicing qigong. This is entirely voluntary. We usually substantiate what´s said by notes or recording. We save the data for a limited period of time and the purpose is solely to facilitate the production of the course report. The following sections in this document deal with the kind of information that could be part of a course report.

1. What kind of personal data do we collect for the course report

We take notes or record experiences that our participants voluntarily share with us regarding the present course or their experiences of practicing qigong in general. Many participants, through the years, have chosen to share information which is classified as sensitive (mostly about health), according to the data protection act and we manage that information as personal data.

2. How we may use your personal data for course reports and on what lawful basis

The data is compiled and temporarily stored as a possible basis for the course report that will be composed for the present course. The data is stored only until the course report is completed, it will then immediately be deleted (see point 5). The data informing the course report will not be given to a third party.

The legal basis for collecting and for a limited period of time storing the data is consent.

3. How we protect personal data which may constitute basis for course reports

When we are dealing with personal data in digital form the data is protected so that no unauthorized person has access to it. When we take notes on paper the individual who writes them down is responsible for protecting the data from unauthorised persons. Apart from the person who took the notes or processed the sound file it is only the originator of the course report who has access to the data. All the personal data that constitutes the basis for the course report will be erased when the course report is completed.

4. Your rights regarding data protection

5. For how long do we keep personal data that may constitute basis for a course report

The kind of personal data that this section addresses will be erased as soon as the course report is completed, after a maximum of three months.
